Altvina LLC (“Altvina,” “we,” “us,” or “our”) values your privacy. This Privacy Policy explains how we collect, use, share, and protect personal information when you use our websites, platforms, and services. This policy applies to all users of our services, including representatives of our business clients (“Clients”), individual users, independent experts and contractors (“Experts”), and visitors to our website. Our services are offered to users located in the United States and Canada.

1. Information We Collect

We may collect the following categories of information:

  • Contact and identity information: Name, email address, job title, company name, phone number.
  • Account and profile information: Login details, preferences, settings, and information you add to your profile.
  • Business information: Company details, organizational needs, project requirements, and other information provided through intake questionnaires, assessments, and scoping conversations.
  • Individual service information: Career goals, professional background, resume or portfolio materials, and other information provided in connection with individual-facing services such as mentorship or career development support.
  • Service and interaction data: Information you provide through surveys, forms, communications with us, and engagement feedback.
  • Technical information: IP address, device type, operating system, browser type, pages visited, referring URLs, and other analytics data collected through cookies or similar technologies.
  • Communication data: Emails, meeting invites, calendar information, messages sent through our platforms, and business text/SMS communications with Altvina phone numbers.

If you provide information about other individuals (for example, colleagues, team members, or employees), you represent that you have the authority to share that information with us and that such sharing complies with your organization’s policies and applicable law.

2. How We Use Your Information

We use personal information for the following purposes:

  • Service delivery: To provide our services, match Clients and individuals with fractional Experts, manage projects and engagements, schedule meetings, and communicate about active work.
  • Operations and improvement: To operate, maintain, and improve our websites, platforms, and services, including troubleshooting, analytics, and internal research.
  • AI-assisted operations: We may use artificial intelligence tools to assist with content generation, data analysis, operational workflows, and service delivery. When AI tools process personal information, such processing is subject to the safeguards described in Section 5 of this policy.
  • Communications: To send service-related messages (such as onboarding, project updates, and support), and—where permitted—relevant informational or marketing communications.
  • SMS and phone communications: To send and receive business text messages and phone calls using Altvina phone numbers, including messages about scheduling, project status, and service updates.
  • Legal and contractual compliance: To comply with applicable laws, regulations, and legal processes, and to enforce our agreements, including our Terms of Service and contractor agreements.

We do not use your personal information to create consumer profiles for sale to third parties or for unrelated lead generation.

3. How We Share Your Information

We do not sell or rent your personal information to third parties for their own marketing or lead generation.

We may share personal information in the following limited ways:

  • Service providers: We use trusted third-party vendors to help us operate our services, such as:
    • Website hosting, cloud infrastructure, and email delivery
    • Customer relationship management (CRM) tools
    • Scheduling and calendar tools
    • Communication platforms (phone/SMS providers, video conferencing tools)
    • AI and machine learning tools used for operational support
    • Analytics and business intelligence platforms
    These providers are selected in good faith and are contractually required or otherwise expected to use your information only to provide services to Altvina and to protect it appropriately. Each third-party provider maintains its own privacy policy and terms of service, which govern its handling of data.
  • Altvina Experts: We may share relevant information with independent Experts engaged by Altvina when necessary to deliver the services you request (such as matching you with a fractional expert or enabling them to communicate with you about your project). Experts are bound by confidentiality and data-use obligations through their agreements with Altvina.
  • Legal and compliance: We may disclose information if we believe it is reasonably necessary to:
    • Comply with applicable laws, regulations, subpoenas, or legal processes
    • Protect the rights, safety, or property of Altvina, our Clients, Experts, or the public
    • Detect, prevent, or address fraud, security, or technical issues
  • Business transfers: If we are involved in a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of that transaction, subject to appropriate confidentiality protections.

We do not share your personal information with unrelated third parties for their independent advertising or lead-generation purposes.

4. SMS/Text Messaging and Phone Communications

When you provide a phone number to Altvina or text an Altvina phone number, you may consent to receive text messages and phone calls related to our services.

  • Types of messages: We may send texts about scheduling, project updates, service notifications, and, where permitted, informational or promotional content related to Altvina’s services.
  • Consent: We will obtain any consent required under applicable law (such as the Telephone Consumer Protection Act (TCPA)) before sending marketing or automated text messages.
  • Message frequency: Message frequency will vary based on your interactions with us and your active projects.
  • Message and data rates: Message and data rates may apply according to your mobile carrier plan.
  • Opt-out: You can opt out of text messages at any time by replying STOP to any message, or by contacting us at hello@altvina.com. After you opt out, we may still send non-marketing messages that are necessary to complete services you have requested (for example, important service or security notices), where permitted by law.
  • Record-keeping: We may maintain records of your consent and opt-out choices as part of our compliance efforts.

SMS Opt-In and Data Privacy

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

If you wish to stop receiving text messages from us, you may reply STOP to any text message sent from us at any time.

5. Third-Party Tools, AI, and Data Processing

Altvina uses a variety of third-party software platforms, cloud services, and artificial intelligence (“AI”) tools to operate its business and deliver services. These may include, but are not limited to, CRM systems, project management tools, communication platforms, analytics services, and AI-powered tools for content, analysis, and operational support.

  • Third-party privacy policies: Each third-party tool we use is governed by its own terms of service and privacy policy. Altvina does not control and is not responsible for the privacy practices or data-handling policies of third-party providers. We encourage you to review the privacy policies of any third-party services you interact with through our platform.
  • AI tools and personal data: Where AI tools are used in connection with our services, your personal information may be processed by those tools to the extent necessary for service delivery. Altvina will not input Client Confidential Information into publicly accessible AI tools without prior consent. We use commercially reasonable efforts to select AI tools with appropriate data-handling and security practices.
  • Data processing agreements: For Clients who require explicit assurances about data handling by Altvina or its service providers, a Data Processing Agreement (DPA) can be made available upon request. Please contact hello@altvina.com to request a DPA.

We use reasonable administrative, technical, and physical safeguards designed to protect your personal information from unauthorized access, use, or disclosure. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Cookies and Tracking Technologies

Our website uses cookies and similar tracking technologies to improve your experience, analyze site traffic, and understand how our services are used.

  • Essential cookies: Necessary for the basic functioning of our website (for example, session management and security).

California residents: Under the California Consumer Privacy Rights Act (CPRA), you have additional rights including the right to know what personal information is collected, the right to delete, and the right to opt out of sale or sharing. As noted above, Altvina does not sell personal information.

Other U.S. state privacy laws: Residents of states with applicable consumer privacy laws (such as Virginia, Colorado, Connecticut, and others) may have similar rights. We will honor valid requests consistent with applicable law.

8. Data Retention

We retain personal information only as long as reasonably necessary to:

  • Provide and support our services and business operations

  • Resolve disputes and enforce our agreements

When personal information is no longer needed, we will securely delete or de-identify it. We may retain limited information in backups or archives for a longer period where required or permitted by law.

9. Children’s Privacy

Our services are not directed to children under the age of 16, and we do not knowingly collect personal information from children under 16. If we learn that we have collected personal information from a child under 16, we will take steps to delete that information promptly. Our services may link to or integrate with third-party websites, applications, or services. We do not control how those third parties collect or use information. Altvina is not responsible for the privacy practices, content, or security of any third-party sites or services.

11. Do Not Track Signals

Some web browsers transmit “Do Not Track” (DNT) signals. Because there is no universally accepted standard for how to respond to DNT signals, our website does not currently respond to DNT signals. We will update this policy if a uniform standard is established.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and revise the “Effective Date” at the top. If changes are material, we may provide additional notice (such as by email to active Clients or a prominent notice on our website) as appropriate.
